Marketing and Development Associates
The Delaware Children's Museum is looking for two Marketing and Development Associates. One associate will primarily be concerned with data management and the other will focus on writing and external communication. There will be a great deal of cross over between these two positions, which is why some of the same functions appear in both job descriptions.
1) Marketing and Development Associate, Data Management Emphasis
Position Summary:
The Marketing and Development Associate with an emphasis on Data Management works closely with the Directors of Marketing and Institutional Advancement to manage Membership and Development’s data needs utilizing Raiser’s Edge software. The associate also works with both Directors to advance membership sales and donor activity.
Essential Functions:
• Maintain database of members and membership type.
• Manage the donor database:
o Enter donor data.
o Process gifts (receipt and gift acknowledgement).
o Export financial queries to the finance department.
o Export mailing lists for campaigns.
• Prepare membership and annual fund materials for use in house, online and for direct mail.
• Manage direct mail campaigns for membership acquisition and track all costs and results for each campaign.
• Prepare renewal campaign and incentives.
• Assist with scheduling and booking of development and fundraising events.
• Manage schedule of invitations, responses and contact with event management entities (internal and external)
• Work with Guest Services team for retail sale of Memberships as an impulse sale. Develop a script with key benefits for staff to use.
• Manage information from admissions point of sale imported to Membership software.
• Prepare membership reports on a monthly basis for the Director of Finance and Administration.
• Prepare donor and pledge report on a monthly basis for the Director of Finance and Administration.
• Make changes to the website.
• Order and store all collateral material. Work on system to print multiple jobs at the same time to save expense for the Museum.
• Assist with monitoring department budget goals.
• Ensure performance targets are met.
• Prepare and deliver management reports on departmental activities to Director and staff.
• Participate in professional societies and activities to stay current with business trends.
• Participate with senior management in the ongoing planning and programming of the Museum.
• Attend events and programs as a representative of the Museum.
• Implement improved processes to generate the best possible workflow.
• Consistently work in a positive and cooperative manner with all DCM staff.
• Respond promptly to guest needs.
• Participate in continuing educational opportunities for professional growth and development.
• Complete assignments in a timely manner and within Museum’s standards.
• Perform other duties as assigned.
Preferred Qualifications:
• Raiser’s Edge database experience.
• Marketing and/or development experience with a non-profit institution.
• Course work in Marketing, Communications or equivalent related experience.
• One year experience in marketing (advertising, sales, research, promotion, public relations).
• Marketing experience with a non-profit institution.
• Ability to work independently with minimal direction.
• Proven record of leading in a collaborative work structure.
• Must have the ability to participate effectively in teams.
• Good verbal, written, and presentation communication skills.
• Experience with problem analysis and problem resolution.
• Good working experience with Word, Excel, PowerPoint, and Outlook.
• Good organizational skills with the ability to retrieve files and data quickly.
• Must have ability to prioritize and plan work activities in a timely and efficient manner.
• Ability to adapt to changes in the work environment, manage multiple work demands and adjust to delays and unexpected events.
2) Marketing and Development Associate, Communications Emphasis
Position Summary:
The Marketing and Development Associate with an emphasis on Communications works closely with the Directors of Marketing and Institutional Advancement to manage Donors, Pledges, Event Management, Membership, Group Sales, Website, Social Network and Collateral.
Essential Functions:
• Prepare membership and annual fund materials for use in house, online and for direct mail.
• Prepare renewal campaign and incentives.
• Conducts prospect research for grants.
• Prepare proposals for grants and solicitations.
• Work with Guest Services team for retail sale of Memberships as an impulse buy. Develop a script with key benefits for staff to use.
• Make changes to the website.
• Make timely changes to calendar of events on website.
• Executes activities as directed by the Director of Marketing and Communications for emergency closures. (Changes outgoing phone message, updates website.)
• Manage social network. Provide updates and manage flow of information. Record results from announcements.
• Prepare sales materials and manage direct mail and e-mail campaigns for schools and groups. Track all costs and results from each campaign.
• Assist with developing product offerings for groups.
• Visit local hotels and talk about group sales opportunities.
• Work with corporations on group sales offerings.
